Student Assistants Policy
1.0 Definitions
1.1 The following words and expressions have the meaning hereby assigned to them:
1.1.1 Business Unit: Any area of the University headed by the President, Vice-President, Associate Vice-President, Director, Manager, Dean, or Academic Manager, as the case may be.
1.1.2 Course: A set of Learning Sessions in a particular subject, with a defined scope, duration, and specific learning outcomes.
1.1.3 Credit: A unit of measurement assigned to a Course based on the total amount of learning time that counts toward a Program or credential completion.
1.1.4 Cumulative GPA: The overall cumulative grade point average across multiple Semesters in a Student’s Program.
1.1.5 Full-Time Student: An Undergraduate Student registered in 12 or more Credits per week, or a Graduate Student registered in 9 or more Credits per week.
1.1.6 Faculty Member: Members of the teaching and/or research staff, whether on part-time or full-time contracts.
1.1.7 Program: A prescribed set of Courses leading to a qualification.
1.1.8 President: The President of the University.
1.1.9 Semester: A division of an Academic Year where a student is enrolled in a Course(s) followed by an examination period.
1.1.10 Staff: Person(s) employed by the University.
1.1.11 Student: A person presently enrolled at the University.
1.1.12 Student Assistant: A Student engaged in the University’s Student Assistant Program.
1.1.13 Student Assistant Program: A program offering co-curricular applied, experiential experience for on-campus Student Assistants.
1.1.14 Student Assistant Supervisor: A person who oversees, assigns duties, and manages Student Assistants.
1.1.15 University: University of Doha for Science and Technology, established by Emiri Decision No 13 of 2022.
1.2 Where a word or phrase is given a particular meaning, other parts of speech and grammatical forms have corresponding meanings.
1.3 Where the context requires, words importing the singular shall include the plural and vice-versa.
2.0 Policy Purpose
2.1 The purpose of this policy is to:
2.1.1 Regulate the Student Assistant Program (SAP) at the University.
2.1.2 Provide Students with paid opportunities to apply knowledge in real-world settings, enhance their skills and gain competencies that support professional growth and career readiness.
3.0 Policy Scope
3.1 This policy applies to:
3.1.1 Full-time Students
3.1.2 University Business Units
3.1.3 Staff
4.0 Policy Statement
4.1–4.5 The University offers the Student Assistant Program as an integral component of applied and experiential learning and ensures opportunities support both student development and Business Unit needs.
4.6 Roles and Responsibilities
4.6.1 Business Units are responsible for assignments, selection, supervision, timesheets, and developmental feedback.
4.6.2 Career Services are responsible for participation agreements, onboarding, timesheets, records management, and program coordination.
4.6.3 Finance Directorate is responsible for payment processing.
4.6.4 President provides strategic oversight, governance, and exceptional approval.
5.0 General Eligibility Criteria
5.1 Students must meet enrollment and academic requirements as outlined in PR-ST-15.
5.2 Students must complete orientation and required training before commencement of duties.
6.0 Student Assistant Participation Agreement
6.1 Career Services regulates maximum participation hours.
6.2 Participation agreements are limited to one semester and may be renewed.
6.3 Roles, responsibilities, and learning objectives are defined in the participation agreement.
7.0 Student Assistant Remuneration
7.1 Student Assistants may receive a stipend funded by the relevant Business Unit.
7.2 Student Assistants are not employees and are ineligible for employment benefits.
8.0 Compliance
8.1–8.5 Participants must maintain academic standing, comply with University policies, maintain confidentiality, and may be suspended or terminated for non-compliance.
9.0 Performance Evaluation
9.1 Supervisors will provide Student Assistants with feedback on assigned activities.
10.0 Conclusion of Participation
10.1 Conclusion or early discontinuation of participation is governed by the relevant Procedure.
11.0 Procedures
11.1 The Vice-President, Student Affairs will ensure procedures are developed and implemented accordingly.
