ACADEMIC STANDING PROCEDURE

STUDENT CONDUCT POLICY
1.0 DEFINITIONS SPECIFIC TO THIS DOCUMENT
1.1 Capitalized words and phrases used in this procedure and not otherwise defined here have the meanings assigned to them in the Academic Standing Policy (PL-ST05).
1.2 The following words and expressions are specific to this document and shall have the meanings hereby assigned to them:
1.3 Where the context requires, words importing the singular shall include the plural and vice-versa.
1.4 Where a word or phrase is given a particular meaning, other parts of speech and grammatical forms of that word or phrase have corresponding meanings.
2.0 PURPOSE
2.1 To support the implementation of Academic Standing Policy (PL-ST-05). The following procedures are to be read in conjunction with the aforementioned policy.
3.0 PROCEDURE
3.1 Academic Standing – Foundation Program
Academic Standing is assessed by the Admissions and Registration Directorate starting in the first Semester for Foundation Program Students.
The following Academic Standings are applied to Foundation Program Students based on their academic performance:
3.1.1 Clear Standing
3.1.1.1 At the conclusion of every Semester, the Admissions and Registration Directorate updates the Student Transcript to Clear Standing when a Foundation Program Student has achieved passing Final Grades in all Academic Preparatory Courses.
3.1.1.2 Credit Courses and the resulting Cumulative GPA are excluded from the Academic Standing assessment for Foundation Program Students.
3.1.2 Academic Probation 1
3.1.2.1 At the conclusion of every Semester, the Admissions and Registration Directorate updates the Student Transcript to Academic Probation 1 when a Student fails an Academic Preparatory Course for the first time, regardless of the Cumulative GPA.
3.1.2.2 The Admissions and Registration Directorate informs the Student by letter when placed on Academic Probation 1. Academic Probation 1 is a cautionary status and informs the Student that the University deems that they are academically at-risk and that the Student is expected to take corrective action.
3.1.2.3 Students on Academic Probation 1 must:
3.1.2.3.1 Meet with their Academic Advisor; and
3.1.2.3.2 Determine an appropriate Course load; and
3.1.2.3.3 Prioritize repeating Courses with a failing Final Grade.
3.1.3 Academic Probation 2
3.1.3.1 At the conclusion of every Semester, the Admissions and Registration Directorate updates the Student Transcript to Academic Probation 2 when a Student fails an Academic Preparatory Course on the second attempt, regardless of the Cumulative GPA.
3.1.3.2 The Admissions and Registration Directorate informs the Student by letter when placed on Academic Probation 2. Academic Probation 2 informs the Student that the University deems that they are at high risk of Academic Dismissal and that the Student is expected to take immediate corrective action.
3.1.3.3 Students on Academic Probation 2 will be allowed to continue for one Semester under the following provisions:
3.1.3.3.1 Meet with their Academic Advisor; and
3.1.3.3.2 Determine an appropriate Course load; and
3.1.3.3.3 Repeat Courses with a failing Final Grade.
3.1.4 Academic Dismissal
3.1.4.1 At the conclusion of every Semester, the Admissions and Registration Directorate updates the Student Transcript from Academic Probation 2 to Academic Dismissal when:
3.1.4.1.1 A Student fails an Academic Preparatory Course on the third attempt, regardless of the Cumulative GPA; or
3.1.4.1.2 Exceeds the maximum enrollment duration of 150% from the first Semester of registration in the Foundation Program, as indicated in Table A, and taking into consideration that:
3.1.4.1.2.1 The maximum enrollment duration depends on the Student’s level of placement into the Foundation Program.
3.1.4.1.2.2 The maximum enrollment duration excludes Semesters without registration.
3.1.4.1.2.3 The maximum enrollment duration includes Semesters in which a Final Grade, including a W, is assigned.
3.1.4.1.2.4 The maximum enrollment duration may be extended by one semester if the Student requires Math in addition to English.

3.1.4.2 The Admissions and Registration Directorate provides the Manager, Foundation Program Unit with a report identifying Foundation Program Students who have exceeded the maximum enrollment duration for review.
3.1.4.3 After review, the Manager, Foundation Program Unit provides the Admissions and Registration Directorate with a list of Foundation Program Students who should receive an Academic Dismissal.
3.1.4.4 The Admissions and Registration Directorate processes the Academic Dismissal.
3.2 Academic Standing – Undergraduate Programs
Academic Standing is assessed by the Admissions and Registration Directorate starting in the Student’s second Semester of their Undergraduate Program. The following Academic Standings are applied to Undergraduate Students based on their academic performance:
3.2.1 Clear Standing
3.2.1.1 At the conclusion of the Fall and Winter Semesters, the Admissions and Registration Directorate updates the Student Transcript to Clear Standing when a Student has attained a Cumulative GPA of at least 2.00.
3.2.2 Academic Probation 1
3.2.2.1 At the conclusion of the Fall and Winter Semesters, the Admissions and Registration Directorate updates the Student Transcript to Academic Probation 1 when a Student fails to achieve a Cumulative GPA of at least 2.00.
3.2.2.2 The Admissions and Registration Directorate informs the Student by letter when placed on Academic Probation 1. Academic Probation 1 is a cautionary status and informs the Student that the University deems that they are academically at-risk and that the Student is expected to take corrective action.
3.2.2.3 Students on Academic Probation 1 must:
3.2.2.3.1 Meet with their Academic Advisor; and
3.2.2.3.2 Determine an appropriate Course load; and
3.2.2.3.3 Prioritize repeating Courses with a failing Final Grade.
3.2.3 Academic Probation 2
3.2.3.1 At the conclusion of the Fall and Winter Semesters, the Admissions and Registration Directorate updates the Student Transcript to Academic Probation 2 when a Student fails for the second consecutive Semester, excluding Semesters without registration, to achieve a Cumulative GPA of at least 2.00
3.2.3.2 The Admissions and Registration Directorate informs the Student by letter when placed on Academic Probation 2. Academic Probation 2 informs the Student that the University deems that they are at high risk of Academic Dismissal and that the Student is expected to take immediate corrective action.
3.2.3.3 Students on Academic Probation 2 will be allowed to continue for one Semester under the following provisions:
3.2.3.3.1 Meet with their Academic Advisor; and
3.2.3.3.2 Determine an appropriate Course load; and
3.2.3.3.3 Prioritize repeating Courses.
3.2.4 Academic Dismissal
3.2.4.1 At the conclusion of the Fall and Winter Semesters, the Admissions and Registration Directorate updates the Student Transcript from Academic Probation 2 to Academic Dismissal when:
3.2.4.1.1 A Student fails for a third consecutive semester, excluding semesters without registration, to achieve a Cumulative GPA of at least 2.00; or
3.2.4.1.2 Exceeds the maximum enrollment duration of their respective Program by 150%, as indicated by the examples provided in Table B, and taking into consideration that:
3.2.4.1.2.1 The maximum enrollment duration depends on the Student’s level of entry to the Program.
3.2.4.1.2.2 The maximum enrollment duration excludes Semesters without registration.
3.2.4.1.2.3 The maximum enrollment duration includes Semesters in which a Final Grade, including a W, is assigned.

3.2.4.1.3 Table B is not conclusive and identifies the normal Program duration only; however, the number of Semesters per Program is dependent on the Program structure.

3.2.4.2 The Admissions and Registration Directorate provides the Department Head with a report identifying Students for review.
3.2.4.3 After review, the Department Head provides the Dean with a list of Students who have exceeded the maximum enrollment duration.
3.2.4.4 After approval, the Dean provides the Admissions and Registration Directorate with a list of Students who are to be Academically Dismissed for exceeding the maximum enrollment duration.
3.2.4.5 The Admissions and Registration Directorate processes the Academic Dismissal.
3.3 Re-Admission
3.3.1 Students who have been Academically Dismissed are not eligible for Readmission to the same Program.
3.3.2 Academically Dismissed Students may apply for Admission to another Program for the subsequent Semester.
3.3.3 Academic Standing for Academically Dismissed Students is returned to Clear Standing upon Admission to another Program.
3.3.4 Undergraduate Students who have been Academically Dismissed from two Programs, excluding the Foundation Program, are not eligible to return to the University.
3.4 Students on Academic Probation Who Transfer Program
3.4.1. The Admissions and Registration Directorate returns Undergraduate Students on Academic Probation 1 or Academic Probation 2 to Clear Standing upon Internal Transfer to another Program, as outlined in the Transfer Policy (STPL-06).
3.4.2. At the end of the first Semester in the new Program, the Admissions and Registration Directorate calculates the Students’ Cumulative GPA and determines Academic Standing based on all Courses accepted for Internal Transfer together with Final Grades for all Courses taken in the Semester.

3.5 Transcripts
3.5.1 The Admissions and Registration Directorate is responsible for maintaining and updating the Academic Standing on the Student’s Transcript.

3.6 Academic Dismissal Appeal
3.6.1 Students may appeal the Academic Dismissal as outlined in the Student Appeals Policy (PL-ST-04) and Student Appeals Procedure (PR-ST-04).
3.6.2 Foundation Program and Undergraduate Students whose appeal is successful are placed on Academic Probation 2 and provided a one-Semester opportunity to clear the conditions of the Academic Dismissal.
