GRADUATE ACADEMIC STANDING PROCEDURE

1.0 DEFINITIONS SPECIFIC TO THIS DOCUMENT
1.1 Capitalized words and phrases used in this procedure and not otherwise defined here have the meanings assigned to them in the Graduate Academic Standing Policy (PL-ST-18).
1.2 The following words and expressions are specific to this document and shall have the meanings hereby assigned to them:
1.2.1 Academic Catalog: A resource providing specific information on the University’s academic Programs and policies.
1.2.2 Internal Transfer: A transfer between Programs within the University.
1.3 Where the context requires, words importing the singular shall include the plural and vice-versa.
1.4 Where a word or phrase is given a particular meaning, other parts of speech and grammatical forms of that word or phrase have corresponding meanings.
2.0 PURPOSE
2.1 To support the implementation of Graduate Academic Standing Policy (PL-ST-18). The following procedures are to be read in conjunction with the aforementioned policy.
3.0 PROCEDURE
3.1 Academic Standing
The following Academic Standings are applied to Graduate Students based on their academic performance:
3.1.1 Clear Standing
3.1.1.1 At the conclusion of the Semester, the Admissions and Registration Directorate updates the Graduate Student’s Transcript to Clear Standing when a Graduate Student has attained a Cumulative GPA of at least 3.00.
3.1.2 Academic Probation
3.1.2.1 At the conclusion of the Semester, the Admissions and Registration Directorate updates the Graduate Student’s Transcript to Academic Probation when a Graduate Student fails for the first time to achieve a Cumulative GPA of at least 3.00.
3.1.2.2 The Admissions and Registration Directorate informs the Graduate Student by an official letter when placed on Academic Probation. Academic Probation informs the Graduate Student that the University deems that they are at high risk of Academic Dismissal and that the Graduate Student is expected to take immediate corrective action.
3.1.2.3 Graduate Students on Academic Probation, in consultation with the Academic Advisor, will determine an appropriate Course load and prioritize repeating Courses.
3.1.2.4 Academic Probation is assessed by the Admissions and Registration Directorate starting in the first Semester for Graduate Students.
3.1.3 Academic Dismissal
3.1.3.1 At the conclusion of the Semester, the Admissions and Registration Directorate updates the Graduate Student’s Transcript to Academic Dismissed if the Graduate Student:
3.1.3.1.1 Is on Academic Probation and fails to achieve a Cumulative GPA of at least 3.00 at the end of the following Semester of registration; or
3.1.3.1.2 Achieves a failing Final Grade in a Course on second attempt; or
3.1.3.1.3 Fails to pass the Comprehensive Examination on the second attempt; or
3.1.3.1.4 Fails to pass the Candidacy Examination on the second attempt, or
3.1.3.1.5 Fails to pass the Dissertation Examination on the second attempt.
3.1.3.2 Unless otherwise specified, Graduate Students will be Academically Dismissed should they exceed the maximum enrollment duration of their respective Program by 150%, counted from the first Semester of registration in the Program.
3.1.3.2.1 The maximum enrollment duration depends on the Student’s level of entry to the Program.
3.1.3.2.2 The maximum enrollment duration excludes Semesters without registration.
3.1.3.2.3 The maximum enrollment duration includes Semesters in which a Final Grade, including a Final Grade of Withdrawal (W), are assigned.
3.1.4.3.4 The Admissions and Registration Directorate provides the Department Head with a report identifying Graduate Students for review.
3.1.4.3.5 After review, the Department Head provides the Dean with a list of Graduate Students who have exceeded the maximum enrollment duration by 150%.
3.1.4.3.6 After approval of the Dean, the Dean provides the Admissions and Registration Directorate with a list of Graduate Students who are to be Academically Dismissed for exceeding the maximum enrollment duration by 150%.
3.1.4.3.7 The Admissions and Registration Directorate processes the Academic Dismissal by updating the Graduate Student’s Academic Standing in the ERP and communicating the Academic Dismissal to the Graduate Student by way of letter.

3.1.3.3 Individual Programs may have more stringent requirements as outlined by the Program in the Academic Catalog.
3.2 Re-Admission
3.2.1 Graduate Students who have been Academically Dismissed are not eligible for Re-admission to the same Program.
3.2.2 Academically Dismissed Graduate Students may apply for Admission to another Program for the subsequent Semester.
3.2.3 Academic Standing for Academically Dismissed Graduate Students is returned to Clear Standing upon Admission to another Program.
3.2.4 Graduate Students who have been Academically Dismissed from two Graduate Programs are not eligible to return to the University.
3.3 Graduate Students on Academic Probation Who Transfer Programs
3.3.1 The Admissions and Registration Directorate returns Graduate Students on Academic Probation to Clear Standing upon Internal Transfer to another Program.
3.3.2 At the end of the first Semester in the new Program, the Admissions and Registration Directorate calculates the Graduate Students’ Cumulative GPA and determines Academic Standing based on all Courses accepted for Internal Transfer together with Final Grades for all Courses taken in the Semester.
3.4 Transcripts
3.4.1 The Admissions and Registration Directorate is responsible for maintaining and updating the Academic Standing on the Graduate Student’s Transcript.
3.5 Academic Dismissal Appeal
3.5.1 Graduate Students may appeal the Academic Dismissal as outlined in the Student Appeals Policy (PL-ST-04) and the Student Appeals Procedure (PR-ST-04).
3.5.2 Graduate Students whose appeal is successful are placed on Academic Probation and provided a one-Semester opportunity to clear the conditions of the Academic Dismissal.
